Cancellation Policy

Athletics is a summer sport and as such, every effort will be made to conduct competition. Little Athletics Victoria has a sun smart policy that is recognised by the Board of Management at Coburg Little Athletics Centre, but it is the responsibility of athletes, parents and Chief officials to ensure that athletes have adequate protection in the form of:

  • Hat, Sunscreen, Drink.
  • Utilise shade shelters whilst not competing.

Competition shall continue as normal except on days where there is, or is likely to be, extreme conditions (e.g. extreme heat, oppressive humidity, very wet conditions, etc).

At all times the onus of responsibility to attend competition on days of extreme conditions lies with the parents/guardians of the athletes.

When a day of extreme conditions is expected or experienced, the Competition Panel responsible for the conduct of the meeting, shall review the available information as to the current or expected conditions. Based upon this review, the Competition Panel will decide if the meeting is to be cancelled or modified.

In its review, the Competition Panel shall duly consider each of the following factors:

  • The VLAA Heat and Hydration Policy.
  • Safety of Athletes and Officials.
  • Temperature.
  • Condition of the track and field.
  • Available daylight.
  • Intensity and/or likely persistence of rainfall.
  • The likelihood that at least 2/3rds of scheduled events in the meeting can be completed in a reasonable time.

Based upon this review the Competition Panel can, at their discretion, decide to take one or more of the following actions:

  • Continue with the meeting according to the original schedule.
  • Move to an earlier start time on the same day (but not earlier than 7:30am).
  • Move the meeting to a twilight session.
  • Reduce the number of events offered to athletes.
  • Cancel the meeting.

In the event that a meeting is cancelled or modified:

  • The Competition Panel will make all reasonable efforts to directly and promptly notify each club's Team Manager of the decision.
  • The Board of Management will endeavour to directly and promptly notify athletes by email, SMS and/or posting to the CLAC website.
  • The Competition Panel will refer a decision to the Board of Management in relation to Competition point scoring for that day
